Microsoft 365 discounts for nonprofits: what you need to know

Yes, eligible Canadian nonprofits can get free or deeply discounted Microsoft 365 licences through the Microsoft for Nonprofits program. That’s real savings on tools many organizations pay full price for without knowing it. One caveat is in order, though: these programs change regularly, and the only reliable source for the current offer is Microsoft’s official channels.

What the program offers

Historically, the program has allowed eligible nonprofits to obtain a certain number of free licences — business email (Exchange), the Office suite (Word, Excel, PowerPoint), Teams, SharePoint and OneDrive — plus discounts on additional licences. More economical options also exist for teams that only need email, without the office software.

We can’t stress this enough: Microsoft has changed several parts of its nonprofit offer in recent years, both the number of free licences and the products covered. Before planning anything, confirm the current offer on the official Microsoft for Nonprofits portal.

Who is eligible?

As a general rule, the program is aimed at registered charities and recognized nonprofits. Microsoft verifies the organization’s status at sign-up, and certain types of organizations (government entities and schools, among others) fall under other programs. The exact criteria are detailed on the official portal and can change over time. Have your registration documents on hand: validation can take a few days and happens entirely online.

Things to watch before you jump in

  • Programs change. Benefits offered one year can be reduced or withdrawn the next. Don’t build your budget on the assumption that free will stay free forever.
  • Trial versions are temporary. If your team is working on trial access, plan the transition to a real licence before it expires to avoid any service interruption.
  • Setup and support costs may apply. The licences may be free or discounted, but sign-up, email migration and configuration are real work — whether you do it in-house or with a partner.
  • Check what’s actually included. Not all licences give access to the same tools; make sure the option you choose covers your real needs (email only, or office and collaboration tools too).

How to check your eligibility

The process starts on the Microsoft for Nonprofits portal, where you submit your organization’s information for validation. If you’d rather have support — for sign-up, migration or account configuration — we can guide you through the process. Management fees may apply depending on the scope of the work.

Nonprofits are among the organizations we work with regularly, notably for website design for nonprofits. If your organization wants to take stock of its digital tools — email, website, security — write to us: we’ll tell you frankly what’s worth changing, and what can wait.
